Prepare the inspection handoff
This checklist helps a property team request and organize a qualified roof inspection. It is not a roof-access or repair procedure. Provide the inspector with the roof plan, known roof systems, leak reports, prior repairs, warranty documents and access restrictions. Agree on the safe inspection method and record any areas that cannot be assessed.
- Property, inspection date, inspector and facility contact
- Roof-zone names linked to a drawing or column grid
- Roof materials and known installation or repair dates
- Recent weather, leak timing and affected interior locations
- Recent HVAC, electrical, solar or other rooftop work
- Access limitations and sensitive operations beneath the work area
Request observations by component and location
Use the same labels on the plan, photographs and report. Findings should identify condition, location and the proposed next action. A checkbox marked inspected is less useful than a photograph tied to a specific roof zone.

Turn findings into a closeout list
Ask the inspector to distinguish active protection needs, scoped repairs, items to monitor and conditions needing further assessment. The urgency depends on the observed defect and the space beneath it. Have the property team assign responsibility and a target date rather than allowing findings to remain only in a PDF.

- Assigned owner and agreed due date
- Approved scope or follow-up assessment
- Completion date, repair materials and closeout photos
Example: follow one leak through the record
An interior report labeled L-03 above a storage bay should keep that identifier in the roof inspection, repair authorization and closeout photographs. If the cause remains uncertain, record the next diagnostic step instead of marking it resolved. After repair, record observations during suitable rainfall and any recurrence using the same identifier. Keep different leak locations separate until evidence connects them.
File the record and schedule follow-up
Save the dated roof plan, findings, approved work and completion evidence in one property file. Set the next inspection using the roof condition, manufacturer or warranty requirements, rooftop activity and weather exposure.
